Share zones and control access
By default every zone is public — all project members can see it. Make a zone private when a subcontractor, a client, or a specific team should only see part of the project.
Required role: Manager (or Organization Admin) to change access. Any project member can see who a zone is shared with.
Make a zone private
- Open the zone.
- Turn off public.
- Save.
Result: the zone disappears for everyone except users you grant access to (and Managers and Organization Admins, who always see everything).
Making a zone private hides everything located in it from users without access — issues in that zone, and drawings attached to it. Grant access before you flip it, so nobody loses their work in progress.
Grant access to a zone
- Open the zone and go to its access list.
- Choose Share and pick who gets access:
- Company — everyone from a project company. This is the usual choice for a subcontractor.
- Role — everyone with a given project role (Manager, Collaborator, Guest).
- Person — one specific user.
- Save.
Result: the entry appears in the zone's access list and those users can now see the zone.
Remove access
- Open the zone's access list.
- Choose Remove on the entry.
Result: access is revoked immediately for everyone that entry covered.
Share many zones at once
Granting a plumbing contractor access to every bathroom one zone at a time isn't practical.
- In the zone tree, select the zones you want to share.
- Choose the bulk share action.
- Pick the company, role, or person to grant access to.
- Turn on include descendants to also share everything below each selected zone — share Building B once instead of its forty apartments.
- Confirm.
Result: an access entry is created on every selected zone (and, if chosen, on all of their descendants).
Share at the highest level that matches the scope of work. One entry on Building B with descendants included is easier to audit — and to revoke — than forty entries.
How this interacts with guests
Guests are already company-scoped: they only see issues belonging to their own company. Zone access is a second, independent filter — a guest sees a zone only if it's public or explicitly shared with them, their company, or their role.
See Issues overview for what guests can do once they can see a zone.
