Scheduled reports
A weekly report that someone has to remember to produce is a weekly report that eventually stops. Schedule it instead.
Required role: Manager or Collaborator.
Scheduled reports depend on your plan. See Features gated by plan.
Prerequisites: a report template. A schedule always runs from a template — that's where its filters, format, grouping, and cover page come from.
Create a schedule
- Open the project's Scheduled Reports area and select New Schedule.
- Give it a name and optional description.
- Choose the template to run.
- Set the frequency:
- Daily — pick the time of day.
- Weekly — pick the day of the week and the time.
- Monthly — pick the day of the month (1–28) and the time.
- Set the timezone the schedule runs in.
- Set the end date — required, and at most 3 months from today.
- Choose the recipients, in any combination:
- Companies — every active member of the selected companies.
- Roles — everyone with a given project role (Manager, Collaborator, Guest).
- Individual members — specific people.
- Save.
Result: the schedule is created inactive. Activate it when you're ready.
Use day 28 or earlier for monthly schedules. Higher values would skip February.
Recipients are resolved at each run, not when you create the schedule — so someone who joins the project next month starts receiving the report automatically.
Activate and deactivate
- Open the schedule.
- Choose Activate to start it, or Deactivate to pause it.
Result: an active schedule shows its next run time. A deactivated one keeps its configuration and its history but stops producing reports.
A new schedule is inactive until you activate it. Creating it is not enough.
Run it now
Choose Trigger to generate the report immediately, without waiting for the next scheduled time and without disturbing the schedule. Useful for testing that the recipients and template are right before you leave it running.
Follow the executions
Each schedule keeps a history of its runs, each marked:

| Success | The report was generated and sent. |
| Failed | Generation or sending failed — open the run to see why. |
| Skipped | The run was not needed, for example when there was nothing to report. |
Reports produced by a schedule appear in the project's normal Reports list, marked with the schedule that produced them.
Edit or delete a schedule
- Open the schedule and choose Edit to change its frequency, recipients, or end date.
- Choose Delete to remove it. Reports it already produced are kept.
Deleting the template a schedule uses deletes the schedule too. Repoint the schedule first if you're cleaning up templates.
