Report templates

A template saves everything about how a report is built so the next one takes one click and looks identical.

Required role: Manager or Collaborator.

Custom report templates depend on your plan. If you can't create templates, your project runs on the standard report configurations — see Features gated by plan.

What a template stores

  • Filters — including relative dates like last month or last 7 days, which re-evaluate every time the template is used.
  • Fields — the columns to include.
  • Group by, sort by, and sort order.
  • Split by group — one report per group instead of one combined report.
  • Default format — PDF, Excel, or CSV.
  • Images and drawings settings, and the image quality.
  • Cover page — title, subtitle, notes, logos, and what to show.
tip

Relative dates are what make a template worth having. A template filtered on last month produces this month's report in January and February without you editing anything.

Create a template

  1. Open the project's Reports area and go to Templates.
  2. Select New Template.
  3. Give it a name ("Monthly report — high priority") and an optional description.
  4. Configure filters, fields, grouping, format, and the cover page exactly as you would when generating a report.
  5. Choose the visibility:
    • Private — only you can see and use it.
    • Project-wide — everyone on the project can use it.
  6. Save.

Result: the template appears in the template list and can be picked when generating.

tip

You can also create a template from the report builder itself: configure everything, tick the save-as-template option, and generate. You get the report and the template in one step.

Use a template

  1. Start a new report and choose the template.
  2. Optionally override the format or a filter for this run only.
  3. Generate.

Result: the report is built from the template's configuration. Builddar counts the use so your most-used templates sort to the top of the list.

Edit a template

  1. Open the template and choose Edit.
  2. Change whatever you need and save.

Result: future reports use the new configuration. Reports already generated are unchanged.

note

System templates ship with Builddar and can't be edited. Duplicate one to get an editable copy.

Duplicate a template

  1. Open the template and choose Duplicate.
  2. Rename the copy and adjust it.

Result: an independent template. Use this to build a variant without disturbing a template other people rely on.

Delete a template

  1. Open the template and choose Delete.
  2. Confirm.
caution

Deleting a template also deletes the scheduled reports that depend on it. Repoint or delete those schedules first if you still need them.
