Generate a report

Required role: Manager or Collaborator.

Prerequisites: a project with issues in it.

Generate a report

  1. Open the project's Reports area and select New Report.
  2. Choose a starting point:
    • A saved template — everything is preset; skip to step 6.
    • Custom — configure it yourself.
  3. Set the filters that decide which issues are included: status, assigned company, zone, trade, phase, priority, due date, detection date, and more.
  4. Choose the formatPDF, Excel, or CSV.
  5. Configure the presentation:
    • Group byZone, Company, Trade, or Phase.
    • Sort byIssue number or Detection date, ascending or descending.
    • Fields — which columns appear (see below).
    • Images and drawings — see Photos and drawings.
    • Cover page — see Customize the cover page.
  6. Select Generate.

Result: the report is queued and starts building in the background. It appears in the report list with the status Pending, then Processing, then Completed. You can leave the screen — generation continues.

  1. When it's Completed, choose Download.

You can save the settings you just configured as a reusable template in the same step — tick the save-as-template option before generating. See Report templates.

caution

If a report ends as Failed, open it to see the error message. The most common causes are filters that match no issues at all, or a very large report with full-resolution images — try a lower image quality.

Choose which fields appear

Some columns are always present: issue number, title, status, zone, zone path, created date, and the completed, validated, and refused dates.

On top of those you can add:

Priority, Phase, Trade, Company, Drawing, Due date, Detected at.

Result: only the columns you picked are printed, so a report for a contractor can stay narrow and readable.

Leave the field selection alone to get Builddar's defaults. Explicitly choosing no optional fields gives you the required columns only — that's a different thing from not choosing.

Photos and drawings

PDF reports can carry visual evidence. Each of these can be turned on or off:

  • Issue images — the before/after photos attached to each issue. On by default.
  • Drawing pins — a zoomed crop of the drawing around each issue's pin, printed on the issue card.
  • Drawing overview — a full-page section per drawing, showing every pin on it.

You can also set the image quality:

caution

High quality on a report with hundreds of photos produces a very large file and takes noticeably longer to build. Prefer medium unless you need print quality.

Customize the cover page

  • Report title — replaces the default title.
  • Subtitle — shown under the project name, for example the address or the phase.
  • Notes — a free-text information card on the cover.
  • Logos — pick which of the project's logos appear, and in what order.
  • Generated by — show or hide who produced the report.
  • Actor names — show or hide who detected, completed, validated, or refused each issue on the issue cards.

Preview before you commit

Before generating, you can preview the structure of the report — how the groups and pages will lay out — so you can adjust grouping or filters without waiting for a full build.

Manage generated reports

The Reports list shows every report with its number, format, status, size, and who generated it.

  • Download — get the file.
  • Send by email — see Email a report.
  • Delete — remove a report you no longer need.
