Project lifecycle

A project moves through several states over its life. This guide covers the actions that change a project's state and who can perform each one.

The states

  • Setup — being configured; only organization admins can access it.
  • Active — live and in use by the whole team.
  • Completed — work finished; kept for reference.
  • Archived — put away and hidden from the normal list.

A project is in exactly one of these states at a time.

Activate

Takes a project from setup mode to live.

Required role: Organization Admin.

  1. Open the project and go to Settings (or the overview).
  2. Select Activate.

Result: the project becomes active. Activation requires at least one zone and one company — see Set up a project.

Deactivate (back to setup)

Sends a live project back to setup mode, for example to reconfigure it away from the team.

Required role: Organization Admin.

  1. In the project's Settings, choose to deactivate it.

Result: the project returns to setup mode. Members lose access until it's activated again. A project that's completed or archived can't be deactivated.

Archive and unarchive

Archiving puts a project away and hides it from the normal project list.

  • ArchiveRequired role: Manager, Collaborator, or Organization Admin.
  • UnarchiveRequired role: Organization Admin.
  1. To archive: open the project and choose Archive.
  2. To bring it back: an organization admin opens the archived projects view and chooses Unarchive.

Result: archived projects are hidden until unarchived. No data is lost.

Complete and reopen

Marking a project complete signals that work is finished.

Required role: Organization Admin.

  1. To complete: open the project and choose Complete.
  2. To reopen: choose Uncomplete.

Result: the project is marked completed and stays available for reference. Reopening returns it to active.

Add drawing credits

If your organization is billed per project, each project has a drawing quota — a number of drawing credits. When you're running low, you can add more.

Required role: Organization Admin (only for per-project billing, with self-management enabled and an active subscription).

  1. Open the project and find its drawing quota.
  2. Choose to add credits, enter an amount, and optionally a reason.

Result: the credits are added and the project's remaining quota goes up.

The drawing quota only applies to organizations on per-project billing. On other plans, there's no per-project drawing limit to manage here.
