Manage project members

Project members are the people who work on a project. Each member has a role (Manager, Collaborator, or Guest) and belongs to a company on the project.

Required role: Project Manager or Organization Admin for all changes below. Collaborators and Guests can view members but can't invite, change roles, or remove them.

The roles you can assign

  • Manager — full control of the project.
  • Collaborator — creates and manages issues, runs checklists, uploads documents, generates reports.
  • Guest — company-scoped, mostly read-only. Sees only their own company's issues.

If no role is chosen, new members default to Collaborator.

note

If the person is already a guest at the organization level, they can only be added as a Guest on a project — their role can't be raised.

Invite a member

  1. Open the project's Members area and select Invite.
  2. Enter the person's Email.
  3. Choose the Company they belong to (it must be a company on this project — add one first in Manage companies if needed).
  4. Choose their Role (Manager, Collaborator, or Guest). Leave it to default to Collaborator.
  5. Send the invitation.

Result: the person is added to the project and receives an invitation email. If they don't have a Builddar account yet, the email walks them through creating one. See Accept an invitation from their side.

tip

To add someone now but email them later, turn off the "send email" option when inviting. You can send it whenever you're ready — see Send a pending invitation.

Invite several members at once

  1. In the Members area, choose the bulk invite option.
  2. Add a row for each person — their email, company, and role.
  3. Submit.

Result: everyone is invited in one go. If some rows have problems (for example, an email that's already a member), Builddar invites the valid ones and tells you exactly which rows failed and why. You can add up to 50 people at a time.

Send or resend an invitation

  • Resend an invitation if someone didn't receive or lost theirs.
  • Send a pending invitation for a member you added earlier with email sending turned off.

Open the member in the Members list and choose the resend or send option.

Result: the invitation email is sent again.

Change a member's role

  1. Open the member in the Members list.
  2. Change their Role to Manager, Collaborator, or Guest.
  3. Save.

Result: the member's permissions update immediately.

caution

You can't change the role of an organization guest — their Guest role is fixed. If you need them to have more access, that change happens at the organization level.

Remove a member

  1. Open the member in the Members list.
  2. Choose Remove.

Result: the member is removed from the project. This is reversible — you can re-invite them later.
