Run a meeting

Run the meeting is the screen you use during the meeting. It steps through the open points one at a time so you can update each as it's discussed, without leaving the room to hunt through the register.

Required role: Project Manager or Collaborator.

Prerequisites: a draft meeting is open and the register has at least one open point.

The agenda first

The Agenda tab shows what there is to review before you start:

Points are listed in the order the meeting will be run — grouped, urgent first, then by due date.

A draft's agenda is internal. Companies see it once the report is published.

Steps

  1. From the Agenda tab, select Run the meeting.
  2. Work through the points using Previous and Next. The header shows Point X of Y.
  3. For the point on screen, update whatever was decided:
    • Change the Status.
    • Move the Due date.
    • Set FlagsUrgent, or Remind / Final reminder to increment the printed reminder badge.
    • Add a comment: what was decided. It is added to the point's history.
  4. Select Save the changes.

Result: the batch is written and each point's history gains the matching entries. You'll see X points saved.

Changes are batched

Edits queue up as you move through the points rather than saving one at a time — the counter reads X points waiting to be saved, or Nothing waiting when the queue is empty.

caution

The batch has a cap. When you reach it you'll see The batch is full — save before making more changes. Save and carry on.

If a point can't be saved you'll see X points not saved, with the reason per point — for example This point could not be updated. It may have been closed, or it may no longer be visible to you.

What changed since last time

The register shows a running diff against the previous meeting — Since meeting 12: 3 new, 2 closed, 1 reopened, 4 due dates moved, 2 reminded — or nothing changed. On the first report it reads First report — the whole register:.

This is the paragraph most readers of a compte rendu look for first, and you don't have to write it.
