Record attendance

Attendance is recorded per company, not per person — the printed report has one row and one badge per work package. It also decides who receives the published report.

Required role: Project Manager or Collaborator.

Prerequisites: the project has companies on its roster. If not, you'll see No company on this project's roster yet — see Manage companies.

Steps

  1. Open the draft meeting and go to the Attendance tab.

  2. For each Company, set the Presence:

  3. Optionally set Convened — the time that company was convened for. This is how you run a staggered meeting where each trade has its own slot.

  4. Check the Attendee name. It's copied from the company's contact when the row is created, then frozen.

  5. Use the Distribution toggle to control whether this company receives the published report.

  6. Add a Note if needed.

Result: Attendance saved. The presence badges print on the report, and the distribution list is set for publishing.

Why the attendee name is frozen

The name is captured once and then left alone. A report published today should still name the person who actually attended, even after the company changes its representative years later.

One attendee per company. If you need two people from the same company named on one report, that isn't supported today.

Companies with no email address

A company on the distribution list with no address on file will show No address on file — this company will not receive the report. Add an email on the company.

Fix it before publishing. At publish time you'll be warned again — "2 companies on the distribution list have no address on file and will not receive the report" — but publishing is irreversible, so it's better caught here.
