Publish the report
Publishing produces the compte rendu and sends it. It also freezes the meeting permanently.
Required role: Project Manager. Publishing is manager-only, even though a Collaborator can run the meeting.
Prerequisites: a draft meeting with attendance recorded.
Preview first
Publishing can't be undone, so check the document before you commit.
- Select Preview.
- Switch between Full report and Extract for <company>.
- Use Refresh after making changes.
The preview is rendered through the same template as the PDF, from the current draft. Nothing is published and nothing is sent. Photos are not rendered in a preview.
Steps
- Open the draft meeting.
- Select Publish and send.
- Read the confirmation. It tells you exactly what will happen:
- The meeting, its attendance and its progress become read-only, permanently.
- X open points go out to Y companies, each receiving their own extract.
- A warning for any company on the distribution list with no address on file.
- Confirm.
Result: Report published — the PDFs are being produced. The meeting moves to Published and the documents appear on the Reports tab.
Publishing is not a save. It freezes this report and sends it — there is no way back, and a correction means issuing a revision.
What gets produced
Each publication produces:
- The full report — the whole register as of that meeting.
- One extract per company — that company's points only, so a contractor receives what concerns them rather than the entire document.
Each document shows its point count, and each is downloadable from the Reports tab.
Documents are permanent
A published meeting report is a contractual reference. Nothing expires it and nothing purges it — a link to it has to resolve years from now. Published reports are also filed in the project's document management, one document per meeting and one version per revision.
Production status
Producing the PDFs happens in the background. Each document shows its state:

Nothing retries automatically. If a document shows Report failed, open the meeting and select Retry. If production is slow you'll see The reports are taking longer than expected — retry any that failed, or reload to check again.
Delivery
Recipients come from the Distribution toggles on the attendance tab. Each recipient is emailed once, even when the same person is the contact for two companies on the project.
If some emails fail, use Retry — you'll see Resent to the recipients that had failed.
