Open a meeting

Each site meeting is a dated view of the project's point register. Opening one creates a draft — you're not starting a blank report, because the register already carries everything still open, with its original dates.

Required role: Project Manager or Collaborator.

Prerequisites: the site meeting module is enabled on the project, and the project has at least one company on its roster.

Steps

  1. Open the project's Meeting reports area and go to the Meetings tab.
  2. Select New meeting.
  3. Set the Date the meeting is held on. This is the only required field.
  4. Optionally set Start and End times, and a Location (for example, Site office, meeting room…).
  5. Optionally pick a Phase, or leave No phase.
  6. Choose Group the register byTrade, Zone, Company or Category. This controls how the register is grouped on screen and in the printed report.
  7. Choose the Report language, or leave Project default. This applies to the PDF and the notification emails, not to the app.
  8. Select Open the meeting.

Result: the meeting is created as a Draft and takes the next number in sequence — CR 1, CR 2, and so on. Every open point on the project is already there.

What the number means

The meeting number is allocated when the draft is created, not when you publish, and it is never reused — not even if you delete the draft. A meeting number is a contractual reference: "see CR 04, point 12" must resolve to one document forever.

Ordering constraints

A meeting cannot end before it starts. If you set an End earlier than the Start, you'll see The meeting cannot end before it starts.

Deleting a draft

A draft meeting can be deleted. Doing so also removes the points that were raised at that meeting — a point raised at a meeting that never happened has no other home. Points carried in from earlier meetings are untouched.

caution

A published meeting can never be deleted or edited. Correcting it means issuing a revision.
