Run a checklist

Running a checklist is the on-site part: walk the space, respond to each item, photograph what's wrong, and raise an issue for it.

Required role: Manager or Collaborator to start and complete a checklist. Guests can respond to items, add notes, and attach photos on checklists they can see.

Prerequisites: a template (or start from scratch), and the zone, drawing, or issue you're inspecting.

Start a checklist

  1. Open the zone, drawing, or issue you're inspecting — or go to the project's Checklists area and select New Checklist.
  2. Choose a template, or start empty.
  3. Set:
    • Title — defaults to the template's name.
    • Assignee — optional, who is responsible for running it.
    • Due date — optional.
    • Blocking — optional. Marks the checklist as something that must be finished before the zone is considered done.
  4. Save.

Result: the template's sections and items are copied into a live checklist. From now on it's independent of the template.

note

A checklist attaches to either a zone or drawing or an issue — not both. A checklist on an issue inherits the issue's phase.

Respond to items

For each item, record what you found:

  1. Open the checklist.
  2. On each item, choose:
    • OK — checked and acceptable.
    • Failed — checked and not acceptable.
    • Reset — puts the item back to Pending if you responded by mistake.
  3. Add a note for context.
  4. Attach photos as evidence.

Result: the item records your response, who recorded it, and when. The checklist's progress updates.

tip

Answer Failed rather than leaving an item pending. Pending means "not looked at yet"; failed means "looked at, and it's wrong" — and only failed items can be turned into issues.

Turn a failed item into an issue

A failed item is only useful if someone fixes it.

  1. On the failed item, choose to link an issue — create a new one, or link an existing issue in the project.
  2. Fill in the issue as usual (see Create an issue).

Result: the item and the issue are linked. Opening either one shows the other.

When the linked issue is validated, the item automatically becomes Corrected and is locked from further edits — you don't have to come back and tick it. If the issue is later rejected or reopened, the item reverts to Failed.

caution

A corrected item can't be edited — not its response, not its note, not its attachments. The linked issue is the record from that point on.

Adjust the checklist while running it

A live checklist isn't frozen. You can:

  • Add an item you realized was missing.
  • Edit an item's label or hint.
  • Remove an item that doesn't apply here.
  • Add a section, or reorder sections and items.

Changes affect this checklist only — the template is untouched. To make a change stick for future inspections, edit the template too.

Complete the checklist

  1. When every item has been answered, choose Complete.
  2. Confirm.

Result: the checklist is marked complete and stamped with who completed it and when. Its items are locked.

caution

Once a checklist is completed, its items can no longer be answered or edited. Reopen it if you need to change something.

Track progress

Each checklist reports its own statistics — how many items are pending, OK, failed, and corrected — so you can see at a glance whether an inspection is done and whether it passed.
