Create a checklist template
A template is the reusable version of an inspection. Define it once, then run it on every apartment.
Required role: Manager (or Organization Admin). Collaborators can view templates but not create or edit them.
Create the template
- Open the project's Checklists area and go to Templates.
- Select New Template.
- Fill in:
- Name — for example "Pre-delivery inspection".
- Description — optional.
- Phase — optional. Scopes the template to a project phase; checklists created from it on zones and drawings inherit it.
- Save.
Result: an empty template appears in the template list, ready for its items.
Add sections
Sections group related checks. They're optional — a short list can sit flat.
- Open the template and select Add section.
- Enter a title (for example "Doors and windows") and an optional description.
- Save.
To change the order, drag sections into place or use the reorder action.
Add items
- Inside a section (or at the top level for an ungrouped template), select Add item.
- Enter:
- Label — the thing to check, for example "Doors open and close freely".
- Hint text — optional helper text shown under the item on site.
- Save.
Result: the item appears in the template and will be copied into every checklist created from it.
Reorder items by dragging them within their section.
Edit or deactivate a template
- Open the template and choose Edit to change its name, description, or phase.
- To retire a template without losing history, turn off active instead of deleting it — it stops appearing in the picker but checklists already run from it are untouched.
Editing a template never changes checklists already in progress. An instance is a copy taken at creation time, on purpose: a team halfway through an inspection shouldn't have items appear or disappear under them.
Duplicate a template
Starting from an existing template is usually faster than starting from scratch.
- Open the template and choose Duplicate.
- Rename the copy and adjust its sections and items.
Result: a new, independent template with the same structure.
